The key criteria for success are aptitude, a proactive mindset, and an unwavering commitment to excellence, not just the number of years on a resume. **Roles and Responsibilities** * Act as the primary point of contact and gatekeeper for the executive, managing correspondence, screening calls, and handling inquiries with professionalism and efficiency. * Manage and maintain complex and dynamic calendars, scheduling appointments, coordinating meetings, and resolving scheduling conflicts proactively. * Coordinate all aspects of domestic and international travel, including flight and hotel bookings, ground transportation, visa arrangements, and detailed itinerary creation. * Prepare and organize materials for meetings, including drafting agendas, creating presentations, and compiling necessary documents; attend meetings to record and distribute minutes as required. * Process and manage expense reports, track budgets, and handle invoicing in a timely and accurate manner. * Draft, proofread, and format a wide range of documents, including confidential reports, official correspondence, and presentations. * Facilitate seamless communication between the executive and internal departments, as well as external clients and partners. * Undertake special projects and ad-hoc assignments as directed, conducting research and providing comprehensive support to drive key initiatives forward. * Maintain an organized system of files and records, ensuring easy retrieval of important information while upholding confidentiality standards. **Job Skills** * **Exceptional Professionalism:** A polished demeanor, impeccable professional presentation, and the ability to represent the executive office with poise and confidence in all interactions. * **Intellectual Agility:** The ability to think critically, process information quickly, and solve complex problems with sound judgment and creativity. You must be able to manage multiple conflicting priorities flawlessly in a high-pressure environment. * **Advanced Communication:** Outstanding verbal and written communication skills, with the ability to draft professional correspondence, edit documents, and communicate clearly and concisely with stakeholders at all levels. * **Tech Proficiency:** High level of proficiency with modern office technology, including the full Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace. Experience with travel and expense management software is a plus. * **Unwavering Discretion:** The ability to handle highly sensitive and confidential information with absolute integrity and discretion is non-negotiable. * **Proactive Initiative:** A forward-thinker who anticipates needs, identifies potential issues before they arise, and takes initiative to implement solutions without direct supervision.
